  • Fill out a contact or estimate request form (name, phone, email, address, service type, message)
  • Create an account on the platform (name, email address, password)
  • Connect a third-party service such as QuickBooks (account credentials and authorization tokens)
  • Upload photos or documents related to a job or project
  • Communicate with us by phone, email, or chat

Information Collected Automatically

When you use the Service, we may automatically collect certain technical information, including your IP address, browser type, operating system, referring URLs, pages visited, and the date and time of your visit. We use cookies and similar tracking technologies to collect this information (see Section 6).

Information from Third-Party Services

If you connect QuickBooks or another third-party service to your account, we receive data from that service as authorized by you. This may include customer records, invoice data, payment history, and account information. We use this data solely to provide the integration features you have enabled.

Property Address Data

Our Zone Zero fire-hazard lookup tool allows you to enter a property address to check its fire hazard severity zone status. Addresses entered into this tool may be stored to improve the accuracy of our lookup service and to provide you with relevant compliance information.

2. How We Use Your Information

We use the information we collect to:

  • Respond to your estimate requests, inquiries, and service questions
  • Provide, operate, and improve the Service and its features
  • Process and sync data with connected third-party services (e.g., QuickBooks invoices and customers)
  • Send transactional emails such as estimate confirmations and appointment reminders
  • Analyze usage patterns to improve the user experience
  • Comply with legal obligations and enforce our Terms of Service
  • Detect and prevent fraud, abuse, and security incidents

We do not sell your personal information to third parties. We do not use your information for behavioral advertising on third-party platforms.

3. QuickBooks Data Handling

When you connect your QuickBooks account to the Service, we access only the data necessary to provide the features you have enabled. Specifically:

  • We read and write customer records, estimates, invoices, and payments to sync job data.
  • We store QuickBooks access tokens securely and use them only to perform actions you initiate.
  • We do not share your QuickBooks data with any third party except as required to operate the Service (e.g., cloud hosting providers under confidentiality obligations).
  • You may disconnect your QuickBooks account at any time, after which we will cease accessing your QuickBooks data and will delete stored tokens.

4. How We Share Your Information

We may share your information in the following limited circumstances:

Service Providers

We engage trusted third-party vendors to help operate the Service, including cloud hosting, email delivery, and analytics providers. These vendors access your information only as necessary to perform services on our behalf and are contractually obligated to protect it.

Legal Requirements

We may disclose your information if required to do so by law or in response to valid requests by public authorities (e.g., a court order or government agency).

Business Transfers

If Tom Sawyer Fence Painting is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you via email and/or a prominent notice on our website before your information becomes subject to a different privacy policy.

With Your Consent

5. Data Retention

Contact form submissions are retained for up to 3 years to support follow-up and service history. QuickBooks integration tokens are deleted promptly upon disconnection.

We use cookies and similar technologies to operate the Service, remember your preferences, and analyze usage. Cookies are small data files stored on your device. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent; however, some features of the Service may not function properly without cookies.

We use analytics tools (such as privacy-respecting page-view analytics) to understand how visitors interact with our website. These tools do not sell your data to third parties.

7. Data Security

We implement commercially reasonable technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. These measures include encrypted data transmission (HTTPS/TLS), secure credential storage, and access controls.

However, no method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee its absolute security.

8. California Privacy Rights (CCPA)

  • Right to Delete: You may request deletion of personal information we have collected from you, subject to certain exceptions.
